Your Role:

We are seeking a highly organized, proactive, and adaptable administrative assistant to join our growing team. This part-time (10–20 hours/week) role involves supporting our online coaching program, Dream Practice Academy, and the CEO’s private psychiatry practice.

 

This position is ideal for someone who thrives in a fast-paced, purpose-driven environment, loves working independently, and takes pride in executing tasks with precision and care. The right candidate will have a problem-solving mindset and a genuine passion for supporting the company’s mission.

 

We are a small company (only 5 people total), which is not for everyone and would match best with a candidate who prefers to operate in an environment where a high level of autonomy is provided and a high level of responsibility is expected. We are a 100% A player team and the ideal candidate would be excited by the prospect of learning a lot, working at a quick pace, and significantly contributing to company results. 

 

This role has the potential to grow into a full time role and expand beyond just administrative tasks (depending on your interest and skill set) including potentially contributing on the marketing or customer success side for Dream Practice Academy or even potentially helping the lead psychiatrist as a research assistant as she develops her integrative psychiatry protocols.

 

Responsibilities & Duties: (including but not limited to)

Program Support:

  • Onboard new members
  • Coordinate gifts for members
  • Assist with transcriptions using AI tools
  • Review and timestamp live program Q&A calls

 

Private Practice Support:

  • Manage scheduling, billing, documentation, and patient communication

 

General Administrative Tasks:

  • Streamline systems and develop SOPs for efficiency
  • Support projects by conducting research or organizing data as needed

Qualifications:

Experience & Skills:

  • 2+ years of administrative experience in a professional setting (preferably healthcare or mental health)
  • Proven track record of managing external calendars and inboxes with efficiency
  • Strong organizational skills with meticulous attention to detail
  • Familiarity with tools like Slack, Google Suite, and Notion is a plus
  • Understanding of HIPAA compliance and prior experience in the mental health field is preferred
  • High proficiency with digital tools
  • Must be U.S.-based, or a U.S. citizen living in a North American time zone

  • High level of professionalism, reliability, and integrity
  • A self-starter who is proactive and takes ownership of tasks
  • Strong written and verbal communication skills
  • Passion for learning, growing, and contributing to a mission-driven organization

 

The right candidate for this position is not someone who just waits to be given instruction, but someone who proactively identifies what needs to be done, takes initiative, engages in self-education and consistently goes above and beyond to contribute to the success of the team and company.

 

Compensation:

  • $25-$30/hour depending on experience (and willing to pay more for someone with a documented track record of executive experience who would be able to contribute above and beyond the position description outlined above)
  • Paid as 1099 contractor
  • Expected 10-20 hours/week of work to start
